The Problem

Anyone acquiring a UF Procurement Card must understand allowable use, reconciliation, and the consequences of misuse — and getting it wrong carries real financial and policy risk.

Design Story

I designed UGO500 as a required step in the PCard application process, partnering closely with the UF GO team to get the policy exactly right.

Complexity

The content is rule-heavy and high-stakes. It had to be accurate, current, and clear enough that every cardholder leaves knowing precisely what they can and can't do.

Anchor compliance in realistic decisions — show what misuse actually looks like, and make the cardholder agreement and reconciliation process concrete rather than abstract.

The Designed Solution

A ~20-minute course covering PCard use, misuse, reconciliation, and the cardholder agreement — with realistic misuse scenarios, a 10-question/80%-to-pass assessment, and UGO100 set as a prerequisite.

Design Decisions

  • Wrote misuse scenarios from real policy edge cases (splitting purchases, funding allocation, advance hotel payment), reviewed with SMEs.
  • Replaced raw emails and URLs with proper contact forms and descriptive link text for accessibility.
  • Added a final assessment and a clear cardholder-agreement acknowledgment step.

The Result

A concise, accurate, compliant course that gates the PCard process.

Impact

Cardholders complete consistent, policy-correct training before receiving a card, reducing misuse risk across the university.

Outcome

Published in myTraining as a mandatory, biennial PCard course.
