Workday implementation
Workday Implementation: Business Process Capture & Training
Leading finance-track training for UF's Workday rollout — coordinating SMEs across six pods, capturing business processes as source material, and building 67 deliverables for tens of thousands of employees.
FacilitationThe Problem
UF's move to Workday means tens of thousands of employees must learn entirely new finance processes — and the training has to be built from scratch, accurately, before go-live.
Design Story
I lead training development across the FIN workstream's pods — Banking & Settlement, Business Assets, Capital Projects, Expenses, Financial Accounting, and Gifts & Endowments — capturing each business process and turning it into courses and guides. I also took on additional pods during a team transition.
Complexity
The source material doesn't exist yet: it has to be captured from SMEs demonstrating live processes. The work spans dozens of interdependent deliverables, multiple modalities, and many stakeholders, all against a hard go-live timeline.
The Designed Solution
A coordinated capture-to-curriculum pipeline: schedule recurring pod sessions, identify and record every relevant business process, and develop the corresponding training — 15 courses (10 online, 4 virtual ILT, 1 micro-learning) and 51 instruction guides across FIN02–FIN07 — anchored by the Customer Confirmation Sessions that align stakeholders on scope and flow.
Design Decisions
- Ran Customer Confirmation Sessions (CCS) to align SMEs and leaders before building.
- Used business-process recordings as the single source of truth for every course and guide.
- Tracked the entire program in a curriculum tracker by pod, modality, and status.
The Result
A structured, in-flight training program covering UF's finance future-state.
Impact
Preparing tens of thousands of employees for a major institutional transition — recognized in recommendations for organization and leadership across multiple pods.
Outcome
In progress — deliverables moving from capture to draft to review against the go-live timeline.
